All Student Group Leaders have a legal duty of care towards their members, one example of this is to follow the Unions annual activities proposal process.
This process helps our groups understand their risk level and what due diligence care is expected of them, to run safe activity for their members.

What do student groups need to do to complete the process?
Depending on your risk levels you will be expected to submit the following:

Low Risk Groups: Only need to submit one off event proposals (you can read more about this process here, link coming soon). If you can not see you CSP name on the list then it is a Low Risk Group.

Medium, High-Risk and High-Risk with expert review groups: Need to submit an annual activity proposal form with an attached annual risk assessment.
Monday August 21st: Deadline for medium, high risk and expert approval CSPs to submit their annual activity form.
Step by Step Process

Step 1 - Review Your Group
It is important that as a group you reflect on what you want to deliver this year. In the form you need to submit we will be asking you about what activities and events you wish to delivery.

Check Your CSP Risk Level (using the tabs above)

Make a list of any regular activity you wish to deliver

Make a list of any one-off / flagship activities you want to deliver. (These have a specific start and end date within the year)
We also will ask you whether you produce any publications, manage any space, have any equipment, need specific insurance etc.

Step 2 – Fill in an Annual Activity Proposal Form
Fill in an Annual Activity Proposal Form and a risk assessment using our template.
Please attach the risk assessment to the form. We recommend looking at the one you submitted last year for a good starting point.
Please add as much details as you can, this will avoid too many redrafts being asked of you.
If your CSP manages, owns or oversees any spaces you will need to complete a risk assessment for this and attach it above.

Step 2a – High Risk with expert review CSP Only
If your CSP is high risk that needs an expert review, you will need to contact an expert in your field to review your risk assessment.
Please attach evidence of the experts comments to your annual activity proposal for.
We recommend reaching out to your contacts, for example try your activity governing body. Experts will either review your risk assessment on a voluntary basis or may charge a fee. If so, this should be paid for by the CSP. - Step 3 – Submit your annual activity proposal form and risk assessment attachment.

Step 4 – The Union will review your annual activity proposal form and risk assessment
We will get back to you to let you know whether it has been approved or needs further work.

Step 4a – Sports Groups
For any sports groups that use college facilities, we will also share your risk assessments with Move Imperial who will also review your risk assessment to ensure it is ok for use.

Step 5 – eActivities page will be updated
Once your annual activity proposal form and risk assessment details are sufficient, your document flag will be marked as complete or exempt for your annual risk assessment.
Deadlines for Annual Activity Proposal submission:
Monday August 21st: Deadline for medium, high risk and expert approval CSPs to submit their annual activity form.
Please note – CSP’s legally cannot deliver any activity until this process is completed and your risk assessment has been reviewed and marked as sufficient by a member of Union staff.

Q. Why do Low risk CSP not submit annual activity forms?
If a group decides to hold a regular social activity or event but changes what the social is every week, this is not exact repeated activity and therefore would need risk assessing individually with an event form submitted.
Regular low risk activity which is repeated exactly on each occasion can be recorded using the recurring dates question on the event proposal form.

Q. How have you calculated my CSP’s risk level?
Legally, the Union must have a high-level risk matrix for all CSPs that maps them against any high-risk hazards. Groups who are low have 0 of these hazards, medium groups have 1-2 and High have 3 or more of the hazards.
Some of the high-level hazards include require professional delivery or oversight, high injury or impact sports, exercise to exhaustion, require increased insurance, extreme sports, activities taking place or working at heights, remote locations, environmental risk, activity taking place in water, maintained PPE or PPE use, use of aircrafts, use of chemicals, working with under 18's or vulnerable adults (this is not an exhaustive list).

Q. I think my CSP’s risk level is incorrect, how do I change it?
Please complete the annual activity proposal form and the Union will automatically review your risk level. If after this you feel it is still incorrect, please contact the Union on activites@imperial.ac.uk.

Q. What other examples are there of regular activity for an annual risk assessment?
When planning for a show or production regular rehearsals would count as regular activity.

Q. Can I add a trip to our annual risk assessment?
No, All trips are individually risk assessed as details change each year, for example destination, dates in the year, accommodation. For these reasons trip details should be submitted in a Trip proposal form each year. You can of course be guided by trips that were approved in previous years.

Q. Do I need to risk assess my equipment?
The annual activity process is for CSP to risk assess activity and therefore the USE of any equipment to run this activity safely. CSPs who own high risk equipment will need to risk assess the storage and maintenance of this equipment via the inventory and equipment process.
