Candidate pack and election rules

Imperial College Union's elections are governed by rules that ensure fairness and accessibility while rewarding energy and enthusiasm. By nominating yourself for a role, you agree that you have read and understood all of the relevant rules and policies.
Rules and regulations for the 2025 Autumn Elections are stated on page 9 of the candidate handbook below. You can also view more information on all positions too!
Training for Reps

Imperial College Union offers comprehensive training for student representatives, with tailored programmes for undergraduate/postgraduate Academic and Wellbeing Reps per faculty, and Council Representatives. We ask that all Reps attend training in order to understand their position in the larger network of Reps, learn about ICU processes, meet their fellow Reps, and learn how to be successful in their role. Please check out the page here for dates.
Training for Council Representatives is compulsory. The Union Council training will be held on 28 October at 6pm, and a catch-up session will be on 30 October.
Elections management

The Autumn Elections 2025 are governed by a Returning Officer who is responsible for ensuring the elections are free and fair. The Returning Officer for Autumn Elections 2024 is Annie Willmott (Interim Director of Membership Services) at Imperial College Union. The Returning Officer will make the final and binding decision on any rule breaches or complex queries raised by candidates and members.
The Returning Officer appoints a Deputy Returning Officer, a member of Imperial College Union staff, to operate the elections on a day-to-day basis, answer queries from candidates and voters, and make rulings on complaints and rule breaches. The Deputy Returning Officers are Helena Schofield (Representation Manager) and Robert Fenner (Activities Manager).

Complaints

Submit complaints using the complaints form coming soon.
DRO reports

The rules of the elections will be interpreted and enforced by the Returning Officer (RO) and Deputy Returning Officers (DROs). The DRO reports updates candidates on the latest DRO rulings and interpretations of the elections rules.
