Overview

The Summer Elections are the last opportunity to fill any club and society vacant positions for next year before they take position on 1 August.

For clubs, societies and Constituent Unions, these elections are used to fill any roles that were not filled during the Leadership Elections. All principal Chairs, Treasurer, and Secretary roles need to be filled to make sure your group can function effectively for next year!

If, by the end of the Summer Elections your group has any principal roles vacant, you will be in danger of being closed.

Available Roles

Club and society roles

All vacant roles that were not filled in the Leadership Elections are available in the Summer Elections.

Please ensure all principal roles (Chair/President, Treasurer, and Secretary) are filled or your club or society will be at risk of closing.

Eligibility and Nominations

  1. You must be a current student enrolled on a programme at Imperial for the full academic year.
  2. You must meet the eligibility of specific roles, for example, you can only be a Department Rep for the Department you study in or part of your club or society committee if you are a member, and joined prior to nominations opening.
  3. You must not have received or be under current investigation for any ICU or Imperial disciplinary action that results in you contravening ICU policy.
  4. ICU will check that candidates are eligible to run with Imperial prior to the start of campaigning.
  5. If you fail to meet the above requirements you shall be withdrawn from the election.

Rules and Regulations

1. Any activity or campaign material that is illegal, breaches University rules, policies and codes or Union bye-laws, regulations, policies or constitution or GDPR is deemed to be in breach of the election rules.

2. The University is still a place of work for students and staff alike during the election period. Candidates must not do anything to disrupt the normal operations of the University or the Union during campaigning.

3. Candidates and their campaign team must not pressure, harass, coerce, bribe or use intimidation to persuade someone to vote or whom to vote for.

4. Candidates must respect the right of the RO/DRO to suspend the elections in the event of a circumstance beyond the Union’s control.

5. Lecture shout outs (announcements by a candidate at the beginning or end of a lecture) are prohibited unless permission is provided by the lecturer.

6. Academic-related, University-administered channels(e.g., Teams) must not be used for campaigning without permission of the lecturer or organiser.

7. Any expenditure must be on activity or items that all candidates could reasonably have had the opportunity to buy or carry out.

8. All campaign material, including any paid for social media advertising, and University printing, must be accounted for and spend declared, with a suitable receipt.

9. No candidates’ campaign material may appear before the beginning of campaigning as stated in the Elections timeline.

10. All campaign material must include the official Union-provided Elections Banner.

11. Permission must be sought when posters are placed on non-designated poster boards in departments and halls of residences.

12. All campaign material must be in English only or have an English translation of anything said in a foreign language, with the English translation being equal or greater in prominence.

13. Publicity stunts must not occur on the Queen’s Lawn, Queen’s Lawn Terrace, Prince’s Gardens, White City gardens, or Dalby Court without the consent of the University Secretary. They should never be offensive or dangerous – including contravening Health & Safety considerations. A risk assessment must have been submitted and approved, and appropriate permissions must be sought.

14. Candidates and their campaign team must not tamper with the campaign material of other candidates nor that of non-election related events or issues.

15. Campaign material, including adhesives, and activities must not cause damage to University or Union property.

16. Candidates should declare their social media accounts when submitting their manifesto.

17. Any messaging on private group chats or pages must include the phrase “you can see all candidates running in this election and their manifestos on the Union website” and should be in English or have an English translation.

18. Candidates must only run for a maximum of 3 part-time positions in the same election, and those running for Officer Trustee (OT) positions must only run for one full-time position as opposed to multiple.

19. Individuals must only endorse candidates in a personal capacity, and not through their Union roles or external roles they may hold.

As highlighted in Rule 10 of the elections, all campaign material must include the official union-provided elections banner.
